Too much of this business still runs out of my own head. Which parts of that can AI realistically take over?

Short answer

Any part you can write down. Founder dependence is an undocumented process, not a personality trait. A decision that lives only in your head is one AI can't touch and your team can't run. So the first move is extraction: getting that knowledge out of your head and into a form the AI can use as context.

Do this week

Write down the next 10 decisions you make this week: how you made each one, what data you looked at, what went in and what came out. That's your automation list for the month.

Too much of this business still currently runs in my head. Which parts can AI realistically take over?

Honestly, any part of your business that you can write down. If you can't write it down, that's a whole other problem. And by writing it down, it doesn't mean you need to physically write it either. You can jump on and drop a voice note.

Founder dependence isn't a personality trait. It's just an undocumented process. Every decision that lives in your head is a decision that AI can't touch, by definition. It's one that your team can't run. So, the first move isn't automation. It's extraction. And we spend a lot of time doing this: getting out what's in the founder's head, getting it down onto paper or digital paper, so you can feed that in as context to the machine.

I run my own business this way. I get a morning brief. I have global and project-related tasks. All of that runs without me. Pipeline is reviewed. Follow-ups are done. All of that runs because the context is captured and available to the system. I'm still the judgement layer. Human in the loop is incredibly important.

But write down the next 10 decisions that you make this week and how you made them, what data you looked at, what was input, what was output. Those are the automations to focus on this month. That's your starting list.
